# Adding day rates to a build-up

> Price build-up lines from your company's and your client's day-rate schedules, with no markup

A day-rate schedule holds agreed **sell** rates, such as "20 t excavator with operator, \$1,450 / day". The rates already include overheads and margin. When you add a line from a schedule to a work item's build-up, Stralos prices it at the schedule rate and adds no markup.

The rates you can pick come from the project's day-rate set. See [Day rates in a project](https://help.stralos.app/guides/estimators/project-day-rates.md).

## Day-rate line or cost rate?

Stralos has two kinds of rate that can be priced per day. They behave differently:

| | Day-rate line | Cost rate per day |
| - | - | - |
| Example | A client's schedule line: excavator with operator, \$1,450 / day | Plant hire from the Resource library: excavator, \$900 / day |
| Where it comes from | A day-rate schedule in the project's set | A resource in the Resource library, or a project rate |
| How to add it | **Day/Card rate** | **Resource** |
| What it is | A sell rate that already includes overheads and margin | A cost |
| Markup | None | Marked up by the estimate's margin ladder and item markup |
| Shared Costs share | None | Takes its share as usual |

If you're pricing what the work costs you, add a **Resource**. If you're charging an agreed day rate, add a **Day/Card rate**.

## Add a day-rate line

### From the build-up's add row

1. Open the work item's build-up.
2. In an activity's add row (or **Activity 1** when the item has no activity yet), change the type to **Day/Card rate**. The **Choose a day/card rate** sheet opens straight away.
3. Find the line and select it. The sheet closes and the add row shows the line's code and description. Select it again to change your choice.
4. Add the line, then set its quantity on the line (see [Quantity](#quantity)). A Fixed line is always quantity 1.

Under **All types**, the add row's search also lists the project's day-rate lines, each starting with **Day/Card rate**. The activity's **Add resource** sheet also has a **Day/Card rates** tab.

### From the component editor

1. Open the component editor for a new build-up line.
2. Set **Build-up line type** to **Day/Card rate**.
3. Pick the line from the list that appears. Until you pick one, the editor shows **Choose a day/card rate to continue.**
4. Enter the quantity and resource count, then save.

**Day/Card rate** is offered only for work items that belong to a project, because the set belongs to the project.

## Use the picker

The **Choose a day/card rate** sheet shows one section for each schedule in the project's set:

* Client schedules come first, headed "\{client} — \{schedule} · Rev n, from \{date}". Your company's schedules follow, headed "\{schedule} · Rev n, from \{date}".
* Each row shows the line's code, description, unit, and rate. A Fixed line has a **Fixed** badge.
* Type in **Search by code or description…** to narrow the list.

The picker only offers Flat and Fixed lines. Cost-plus lines stay in the schedule but can't be added to a build-up. That work is priced from your tender rates instead.

### Add a schedule from the picker

Below the project's lines, the sheet lists **Other day/card rate schedules**: your company's and the client's schedules that aren't in the project yet. Select **Add to this project** beside a schedule to add it without leaving the build-up. Adding a schedule adds all of its lines, fixed to the revision in force today, the same as **Add schedule** in [Project settings → Day/Card rates](https://help.stralos.app/guides/estimators/project-day-rates.md#add-a-schedule). The sheet then reloads so you can pick from the new schedule.

A schedule whose revision hasn't come into force yet shows its start date instead of **Add to this project**.

### When the project has no day-rate schedules

If the project's set is empty and the sheet has a schedule you can add, it says **This project has no day/card rates yet. Please add a schedule from the list below, then pick a day/card rate from it.**

Otherwise, the picker says **This project has no day/card rate schedules** and offers **Open Project settings → Day/Card rates**. The component editor's picker always shows this message, because it has no list of other schedules.

## The line in the build-up

Day-rate lines sit in their own **Day/Card rates** group, after **Subcontractors**. The line's source reads "Day/Card rate · \{schedule} Rev n".

### Quantity

How the quantity works depends on the line:

| Line | At the top of the build-up | Inside an activity |
| - | - | - |
| Flat, priced per hour, day, week, or month | Wrapped in a time activity, like a plant hire rate added as a resource. Enter how many hours, days, weeks, or months in total. The line then follows the activity's duration. | Quantity per day × the activity's duration, as for any line inside an activity |
| Flat, any other unit (each, m, t …) | The quantity you type, charged once for the whole work item, like any other line at the top of the build-up | The usual rules for lines inside an activity |
| Fixed | Always quantity 1, charged once | Always quantity 1, charged once for the activity |

**Resource count** can be changed on any day-rate line, for example 2 excavators.

You can't link a day-rate line's quantity to takeoff or a calculator.

A day-rate line is never promoted to the activity library.

### Rate

The line's name and unit come from the schedule and can't be changed in the build-up. The rate can be changed:

1. Type the new rate into the line's **Rate** cell.
2. The line shows **Edited (schedule \$X)**, where \$X is the schedule's rate.
3. Select **Revert** to go back to the schedule's rate.

An edited rate still takes no markup.

### Margin and markup

A day-rate line sells at exactly what it costs:

* **Cost = sell = quantity × resource count × rate.** Its margin is 0.
* The margin ladder (overrides, categories, rate groups, tender and company defaults) doesn't apply. The margin cell shows "—" and can't be set.
* On **Tender Submission → Estimate items → View**, the line is locked and reads **Day/Card rate — no markup**.
* An item's **Markup %** applies only to the item's other lines. The day-rate cost is added on top, unmarked.
* Day-rate cost takes no share of **Shared Costs**. A work item made only of day-rate lines takes no share at all.
* The labour multiplier never applies.

For example, a work item has \$1,000 of resource lines, \$2,000 of day-rate lines, and a 15% markup. It sells at \$1,000 × 1.15 + \$2,000 = **\$3,150**.

Your client never sees line markups. A day-rate line only changes the work item's total.

### Notes on a line

A day-rate line can show these notes:

| Note | Meaning |
| - | - |
| **Edited (schedule \$X)** | You changed the rate by hand. \$X is the schedule's rate. |
| **Edited (schedule now \$Y)** | You changed the rate by hand, then the line moved to a new revision. Your edited rate was kept. \$Y is the new schedule rate. |
| **Rev 3; the project now uses Rev 4** | The project moved to a newer revision, but this estimate wasn't updated. The line keeps its Rev 3 rate. |
| **Rev 3; this schedule was removed from the project** | Someone removed the schedule from the project. The line keeps its rate. |
| **No longer in the schedule** | An update looked for this line in the new revision and didn't find it. The line keeps its rate. |

To move an out-of-step estimate to the new revision, use **Update** in [Project settings → Day/Card rates](https://help.stralos.app/guides/estimators/project-day-rates.md#move-to-a-newer-revision).

## Copies and versions

| When | What happens to day-rate lines |
| - | - |
| Duplicating an estimate | Copied as they are. The project's set is shared, so it isn't copied. |
| Submitting a tender | Frozen with the tender. They're never updated afterwards. |
| Saving a version | Included in the saved version. |
| Restoring a version | **Keep the version's saved prices** leaves them as saved. **Reprice with current rates** moves each line to the revision the project uses now and keeps edited rates. The preview says how many day-rate lines would move. A line that isn't in that revision is counted as not repriced and keeps its saved price. |
| Exporting work items | At the build-up resource level, a day-rate line shows markup 0%, margin source **Day/Card rate**, and sell equal to cost. The item columns include a **Day/Card rates total** column after **Subcontractors**. |

## If something goes wrong

| Message | What to do |
| - | - |
| That day/card rate is no longer in this project's day/card rate schedules. Pick it again from the list. | The project's set changed after you opened the picker. Open the picker again and choose from the current list. |
| Cost-plus day/card rates can't be added to a build-up. They are priced from the tender rates. | Price the work from your tender rates instead. |
| A day/card rate already includes margin, so it takes no markup. | Day-rate lines can't take a margin override. |
| This estimate item has no project, so it has no day-rate schedules. | Day rates need a project. Add the line as a **Resource** instead. |
