# Day rates in a project

> Choose which day-rate schedules a project's estimates can price from, and move the project to a new revision

Every project has its own set of day-rate schedules. The set decides which day rates the estimators can pick in the project's build-ups. Each schedule in the set is fixed to one revision, so the project keeps pricing at the rates that were agreed. A newly issued revision doesn't change the project until someone decides to move it.

All of the project's estimates share one set, including tender alternatives.

To add day-rate lines to a build-up, see [Adding day rates to a build-up](https://help.stralos.app/guides/estimators/day-rates-in-the-build-up.md).

## How the set is built

You don't need to set anything up. Stralos builds the set the first time the project's day rates are opened, either from **Project settings → Day/Card rates** or from the day-rate picker in a build-up. The set takes in:

* every active schedule that belongs to your company;
* every active schedule that belongs to the project's client.

Each schedule is fixed to the revision that was in force on the day the project was created. A schedule with no revision in force on that day is left out. For a project created before day rates came to the build-up, Stralos uses the day the set was first built.

If your company has no day-rate schedules yet, the set starts empty. Admins create schedules in **Rates & resources → Resource library → Day/Card rates**. See [Day rate schedules](https://help.stralos.app/guides/admins/day-rate-schedules.md).

## Open the project's day rates

1. Open the project, open the navigation menu, and select **Project Settings** under **Project navigation**.
2. Select **Day/Card rates** in the left menu.

The section lives at `/projects/:projectId/settings/day-rates`, so you can bookmark it or share the link.

There is no **Save** button in this section. Each add, remove, or update is applied as soon as you confirm it.

## Read the list

The list shows one row per schedule:

* the schedule's name;
* **Automatic** if Stralos added it when the set was built, or **Added** if someone added it later;
* **Archived** if an admin has since archived the schedule;
* whose schedule it is: the client's name, or **Our company**;
* the revision the project uses, for example **Rev 3, from 1 Jul 2026**.

The picker in the build-up doesn't offer lines from an archived schedule. The schedule stays in the list so you can see what the project used.

If the section shows **You can view this project's day/card rates, but not change them.**, you don't have access to change this project. Ask someone on the project team.

## Add a schedule

Add a schedule when the project needs rates that weren't pulled in automatically. A common example is a head contractor's schedule when you're working for them.

1. Open the **Add schedule** list. Client schedules are listed first.
2. Choose a schedule.
3. Select **Add schedule**.

The schedule is fixed to the revision in force today. Only active schedules with an issued revision in force can be added. If every active schedule is already in the project, the list says **Every active schedule is already in this project.**

You can also add a schedule from the day/card rate picker in a build-up, without leaving the work item. See [Add a schedule from the picker](https://help.stralos.app/guides/estimators/day-rates-in-the-build-up.md#add-a-schedule-from-the-picker).

## Remove a schedule

1. Select **Remove** on the schedule's row.
2. Read the confirmation. It says how many build-up lines in this project's estimates use the schedule.
3. Select **Remove** to confirm.

Lines that already use the schedule keep their rates. The day-rate picker just stops offering the schedule. Each of those lines shows a note such as **Rev 3; this schedule was removed from the project**, so they're easy to spot. You can add the schedule back at any time with **Add schedule**.

## Move to a newer revision

When an admin issues a newer revision of a schedule, its row shows **Rev n available**. The project keeps using its current revision until you choose to move it.

1. Select **Update** on the schedule's row.
2. The **Update estimates using \{schedule}?** dialog lists this project's in-progress estimates. Each row shows the estimate's name, type, status, how many lines use the schedule, and the current total, new total, and difference.
3. Tick the estimates that should move to the new rates. Nothing is ticked to start with.
4. Select **Update**, or select **Skip** to leave everything as it is.

The dialog tells you when the revision comes into force. If that date is in the future, estimates you update still take the new rates straight away.

When the update finishes:

* the project moves to the new revision, so future picks use the new rates;
* each ticked estimate's day-rate lines move to the matching lines in the new revision;
* a line whose rate was edited by hand keeps its edited rate and shows **Edited (schedule now \$Y)**;
* a line that isn't in the new revision keeps its rate and shows **No longer in the schedule**.

The dialog then reports each estimate as **updated**, with how many lines moved, or as **skipped** with the reason.

Estimates you didn't tick keep their old rates. Their day-rate lines show a note such as **Rev 3; the project now uses Rev 4**, so you can update them later from the same row.

If the project has no in-progress estimates, **Update** just moves the project to the new revision.

> [!NOTE]
>
> Only in-progress estimates can be updated. Those are tenders in draft or review on a project that hasn't been awarded. Submitted, won, and saved-version estimates never change.

When an admin issues a revision, they see the same dialog for every project that uses the schedule. The **Update** button here is for projects that were skipped at that point.

## When the project's client changes

If the project's client changes after the set was built, the section shows **The client changed. Add \{new client}'s schedules?** Nothing changes until you act:

* Select **Add** to add the new client's active schedules.
* The previous client's schedules are listed underneath, each with **Remove**.

If the new client has no day-rate schedules, the message says so and there's nothing to add.

## Good practice

* Check the set when a project starts, especially if the client has its own schedule.
* When a new revision is issued, compare the new totals in the update dialog before ticking anything.
* Keep a removed schedule's lines in mind: they keep their old rates until you replace them.
