# Companies register

> Manage clients and suppliers in the Stralos companies register

The companies register holds every business your company works with: clients that projects are delivered for and suppliers that provide rates. A company can hold both roles; one record is maintained regardless of how many roles it carries.

Open **Rates & resources → Companies** from the global navigation to access the register.

## Add a company

1. Open **Rates & resources → Companies** and click **Add company**. A panel slides in from the right; the companies table stays visible behind it.
2. Enter the company name.
3. Tick at least one role: **Client** or **Supplier**. You must tick at least one role before you can save. See [Company roles](#company-roles) for what each role does.
4. Click **Add company** in the panel.

## Company roles

Each role controls where the company appears elsewhere in Stralos.

| Role | What it means |
| - | - |
| **Client** | The people you build for. Select them as a project's client. |
| **Supplier** | They sell you the goods. Their prices and yards show up in the Resource library and estimates. |

A company can hold both roles. Use one record per legal entity and tick every role that applies.

## Filter and search

Use the search box to find companies by name or business number. Use the role filter to narrow the list to **Clients** or **Suppliers**. Each option shows how many companies carry that role. Choose **All companies** to clear the filter.

Each row shows the company's name, its roles, its NZBN (if recorded), and its approved contractor status.

If a search or role filter leaves the list empty, Stralos shows "No companies match your search or filters. Try changing the search or selecting All companies." When no filter is applied and the register has no companies yet, Stralos shows "No companies yet. Add the first one to start creating projects and rates against it."

Each row also has a row actions menu (the icon at the end of the row) with two location shortcuts:

* **Company locations**: opens the Locations register filtered to this company.
* **Add location**: opens the location creation panel directly over the companies list, with the owner fixed to this company.

## Edit a company record

Click **Open** on a company row to open its detail page. The record is organised into sections.

### Details

The **Details** section shows the company's fields. Click **Edit** to make changes.

While editing, the fields are:

* **Company name**: the company's legal name (required).
* **Trading name**: an optional alternative trading name.
* **Business number**: the company's NZBN (13 digits).
* **Company roles**: tick **Client**, **Supplier**, or both. At least one role must be ticked; the **Save changes** button stays disabled until one is selected. See [Company roles](#company-roles) for what each role does.
* **Approved contractor**: the approval status, **Not applicable**, **Pending**, **Approved**, or **Suspended**. This is advisory only; it does not gate any other action in Stralos.
* **Valid until**: a review or expiry date for the approval. This field only appears when the status is set to **Approved**. Changing the status away from **Approved** clears the date automatically.

Click **Save changes** to apply your edits or **Cancel** to discard them and return to the saved values.

If you try to leave the page with unsaved edits, Stralos asks **Discard changes?** Choose **Keep editing** to return to the form, or **Discard changes** to leave without saving. If you close or reload the browser tab with unsaved edits, your browser asks you to confirm.

While a save is in progress, the form fields become read-only. This prevents changes from being lost if you navigate away or make further edits before the write completes.

If the save succeeds but the page refresh fails, Stralos shows a warning: "Company saved. This page could not be refreshed — reload to see the latest." Your changes were saved. Reload the page to see the current data.

### Logo

The **Logo** section holds the company's logo. When the company is a project's client, the [Tender download](https://help.stralos.app/guides/estimators/tender-submission.md#tender-download) PDF prints the logo beside the client's name. Admins and members can change it.

1. Click **Upload logo**, or **Replace logo** if the company already has one.
2. Choose a PNG or JPEG image smaller than 10 MB. A preview appears. Nothing is uploaded yet.
3. Click **Save logo**, or **Discard** to keep the current logo.

To remove the logo, click **Remove logo**, then **Save logo**.

A retired company's logo is shown read-only and cannot be changed, so its past tenders keep the same logo.

### Rates and projects

This section links out to the resource library and project list filtered to this company. For a supplier, click **Open in Resource library** to see the rates it supplies. Click **Open in Projects** to see the projects for this company. Nothing is duplicated onto the company record itself. A count badge beside each label shows the current total of rates or projects for this company.

### Contacts

The **Contacts** section lists the people attached to this company. A count badge in the section heading shows how many contacts are recorded. Each contact has a name, and optionally an email address, phone number, and role.

To add a contact:

1. Click **Add contact** in the **Contacts** section. A panel slides in from the right; the contacts table stays visible behind it.
2. Fill in each field in turn. Each field appears on its own row: **Name** (required), **Email**, **Phone**, and **Role**.
3. Click **Add contact** in the panel.

To remove a contact, click **Delete** next to the contact's name. A confirmation dialog names the contact and asks you to confirm. When you confirm, the contact is removed from the company's contact list. The contact record is kept for history and is not permanently destroyed. If the contact was a project's main contact, the [project's settings](https://help.stralos.app/guides/estimators/project-settings.md#project) ask you to choose another, and Tender downloads leave the client contact out until you do.

### Locations

The **Locations** section lists the branches, yards, quarries, and depots recorded for this company. A count badge in the section heading shows how many locations are recorded.

To add a location:

1. Click **Add location** in the **Locations** section. A panel slides in from the right; the company record stays visible behind it.
2. Enter the location name, kind, and address details.
3. Optionally enter latitude and longitude. Both coordinates must be supplied together or left blank.
4. Click **Create location** in the panel.

After saving, Stralos returns to the company record. To edit a location, open **Rates & resources → Locations**, find the location in the list, and click its name or the **Open** button.

### Documents

The **Documents** section holds files attached to this company. There are two pinned slots and an open list for other documents.

**Pinned slots:**

* **Contract agreement**: the current signed contract with this company.
* **Day/Card rates**: the current day or card rate schedule.

Each pinned slot shows the current file (the one that has not been superseded). Click **Download** to open the file. Click **Upload** or **Replace** to add a new file; an upload panel slides in from the right, keeping the documents table visible behind it. The new file becomes current and the previous version is retained as history.

**Prequalifications and certificates:**

Click **Upload a prequalification or certificate** to attach a prequalification document, insurance certificate, or similar; the same upload panel slides in from the right. Each uploaded file shows its name, file name, scan status, an optional review date, a **Download** button, and a **Delete** button. **Delete** asks you to confirm; the document is removed from the company and kept for history.

To remove a document, click **Delete** next to it. A confirmation dialog names the document and asks you to confirm. When you confirm, the document is removed from the company's document list. The file is kept for history and is not permanently destroyed.

The review date shows as text when the record is in view mode. Click **Edit** on the company record, then change the date in the field next to the document.

**Download availability:**

A file is not available to download until a virus scan completes. If a download is refused, Stralos displays a message. Wait a moment and try again.

**Upload process:**

Files are uploaded directly from your browser to secure storage. The upload uses a presigned request; Stralos does not handle the file content. Choose a file using the upload button; if you need to re-select the same file, the picker resets after each pick so you can choose it again.

## Approval status

The **Approved contractor** field records your own assessment of a company. The values and their display on the register list are:

| Status | Register display |
| - | - |
| Not applicable | Not applicable |
| Pending | Pending |
| Approved | Approved, or Approved to \<date> when a valid-until date is set |
| Approved (expired) | Expired \<date> when the valid-until date has passed |
| Suspended | Suspended |

Approval status is advisory. It is visible on the register and the company record but does not restrict any action in Stralos.

## Good practice

* Use one record per legal entity. A company that is both a client and a supplier needs only one record with both roles ticked. See [Company roles](#company-roles) for what each role controls.
* Record the NZBN so the company is searchable by business number.
* Keep the approved contractor status and valid-until date current for companies that need periodic review.
* Upload a contract agreement and day or card rates once signed so the current documents are always one click away.
